NetSuite HR and Payroll: SuitePeople and Payroll Integrations Explained

By Louis Balla, Chief Revenue Officer, Nuage. Updated October 2026.

NetSuite HR and payroll can run two ways. SuitePeople U.S. Payroll processes payroll inside NetSuite for U.S. employees, calculating earnings, taxes, deductions and company contributions and handling tax filing and year-end forms. Many companies instead keep an outside payroll provider such as ADP or Paylocity and integrate it, so payroll journal entries and employee records reach NetSuite.

The right choice depends mostly on where your employees work and whether you want to move payroll at all. This guide covers both paths, then the integration work that most of our clients’ payroll requests involve.

What is NetSuite HR and payroll?

NetSuite’s HR and payroll product is SuitePeople, a human capital management suite built into NetSuite. Oracle’s SuitePeople overview describes three components:

  • SuitePeople HR: employee records, onboarding and offboarding plans, time-off requests and approvals, and self-service for employees and managers in the Employee Center.
  • SuitePeople Workforce Management: shift scheduling and time and attendance capture across the workforce. It also calculates wages from the hours captured.
  • SuitePeople U.S. Payroll: full-service payroll for U.S. employees, connected to SuitePeople HR and NetSuite accounting.

HR and payroll are different jobs. HR owns the employee: hiring, changes, time off and benefits enrollment. Payroll is a finance job that runs from gross-to-net calculations through to tax filings and general ledger entries. When both work from the same employee record in NetSuite, an approved time-off request or a new hire is available to payroll and to labor cost reporting without anyone re-keying it.

Which SuitePeople components your account includes depends on your subscription. Confirm that with your NetSuite account team before you plan around one.

How does NetSuite payroll processing work?

SuitePeople U.S. Payroll is a full-service payroll product. According to Oracle’s SuitePeople U.S. Payroll documentation, it:

  • Calculates earnings, taxes, deductions and company contributions from current tax data.
  • Files and pays federal, state and local payroll taxes.
  • Pays employees by direct deposit.
  • Processes and files year-end forms, including W-2, W-2C and 1099-NEC.
  • Supports U.S. federal, state and local payroll taxes only.

Because payroll runs inside the same account where finance closes the books, it posts to the general ledger accounts set up for payroll, such as gross pay, payroll expenses and payroll liabilities. Committing a payroll batch creates the journal entry that funds the payroll. A benefit set up in NetSuite can be linked to a payroll deduction and an employer contribution, so both appear on employees’ paychecks.

The U.S.-only scope matters for companies with staff in other countries. Those employees are usually paid through a local payroll provider, with the results brought into NetSuite as journal entries.

Outsourcing payroll with NetSuite: connecting ADP, Paylocity, Paychex or Rippling

Our client requests include more than 35 payroll requests across 18 client accounts, and most of them connect NetSuite to an outside payroll provider such as ADP, Paylocity, Paychex or Rippling. The jobs that come up again and again are:

  • Posting payroll journal entries into NetSuite.
  • Allocating payroll cost to departments or projects.
  • Matching employee records between the payroll system and NetSuite.
  • Building payroll reports finance can trust.

An outside provider can connect to NetSuite in one of three ways:

  • API integration: when the payroll system has a reliable API, payroll results and employee changes sync directly.
  • File import: for systems without a usable API, a scheduled file (CSV or similar) carries payroll results into NetSuite.
  • Middleware: an integration platform sits between the two systems and handles the mapping.

Payroll that is uploaded by hand shows up in the journal count. An assessment at a professional services firm counted 7,447 manual journal entries in NetSuite, driven largely by payroll uploaded by hand from an outside payroll system. Our first recommendation was to scope a supported payroll posting method so payroll stops arriving as manual journals. Manual journals at that volume also take more review and approval effort, which our NetSuite SOX compliance guide covers.

If you are still on QuickBooks with a separate payroll system, our QuickBooks vs NetSuite comparison covers what changes when you move.

SuitePeople or an outside payroll provider: how to compare

Both approaches put payroll cost in NetSuite. They differ in where payroll runs and what your team maintains.

Question SuitePeople U.S. Payroll Outside provider connected to NetSuite
Where payroll runs Inside NetSuite In the provider’s system, with results sent to NetSuite
Employees covered U.S. federal, state and local payroll taxes only Depends on the provider; some companies use a different provider in each country
Tax filing and year-end forms Federal, state and local filing and payment; W-2, W-2C and 1099-NEC Handled by the provider under its own service
How payroll reaches the general ledger Payroll is processed in NetSuite and posts to the ledger there Journal entries created by an integration or a file import
Employee records One employee record used by HR, payroll and finance A record in each system, matched by the integration
What your team maintains Payroll, tax and deduction setup inside NetSuite Field and account mapping plus the integration’s NetSuite role; someone also checks for failed syncs
Changing approach Moving from another provider means planning how payroll history and tax setup transfer Keeps the current provider and the tools employees already use

If every employee is in the U.S. and you are open to moving payroll, ask your NetSuite account team whether SuitePeople U.S. Payroll is available for your account and what it costs. Ask them too how payroll history would move. If you have employees in other countries, or your provider handles filings and benefits you want to keep, an integration keeps that service in place and the work becomes how payroll reaches NetSuite.

How to keep payroll data accurate in NetSuite

Two problems that come up in our payroll assessments are duplicate employee records and payroll reports that stop matching.

Duplicate employee records can start with how the integration matches employees. At an industrial services company, our assessment found about 203 employee records and 77 vendor records carrying duplicate or “do not use” naming workarounds. The employee duplicates traced back to how the payroll integration matched employees, so we recommended adding a unique identifier to the match and cleaning up the flagged records in one batch.

Report problems can arrive as separate requests that share one cause. An engineering services firm running payroll in NetSuite opened five payroll reporting requests over about eight months, including one where the results stopped matching. Our assessment grouped them as one recurring issue and recommended rebuilding the payroll reports against a documented, tested data source. Our NetSuite reporting solutions guide covers reporting options in NetSuite more broadly.

How Nuage approaches NetSuite payroll

In recent payroll projects and assessments, our team has taken or recommended these steps. The order changes with each account.

  1. Find out how payroll reaches the ledger today. We look at the manual journal entries in the account and trace how many come from payroll uploads.
  2. Scope a supported posting method. The goal is for payroll to post through an integration or a structured import so it stops arriving as manual journals.
  3. Map payroll cost to the way finance reports. Payroll is allocated to the departments or projects that finance uses in its reports.
  4. Match employees on a unique identifier. Where duplicates already exist, we recommend cleaning up the flagged records in one batch.
  5. Rebuild payroll reports on a tested data source. Recurring report requests are grouped as one issue, and the reports are rebuilt against a documented, tested data source.

NetSuite HR and payroll FAQ

Does NetSuite have payroll software?

Yes. SuitePeople U.S. Payroll is NetSuite’s payroll product for U.S. employees. Oracle describes it as full-service: it calculates earnings, taxes, deductions and company contributions, then files and pays federal, state and local payroll taxes. It also processes W-2 and 1099-NEC forms. Whether it is part of your subscription, and what it costs, is a question for your NetSuite account team.

Can I outsource payroll and still use NetSuite?

Yes. Many companies keep a provider such as ADP, Paylocity, Paychex or Rippling and connect it to NetSuite. The integration usually posts payroll journal entries and allocates payroll cost to departments or projects. It also keeps employee records matched between the two systems. Agree on the unique employee identifier both systems use before you build the integration, because loose matching can create duplicate records.

Can NetSuite run payroll for employees outside the U.S.?

Oracle’s documentation says SuitePeople U.S. Payroll supports U.S. federal, state and local payroll taxes only. Companies with employees in other countries typically pay them through a local payroll provider and bring the payroll results into NetSuite as journal entries. Labor cost for every country then shows in the same ledger. Ask your account team about options for the countries where you have staff.

What does NetSuite HR management include?

SuitePeople HR covers employee records and onboarding and offboarding plans. Employees request time off and handle routine updates in the Employee Center, and managers approve requests there or from an email. SuitePeople Workforce Management adds shift scheduling, plus time and attendance capture across the workforce. Confirm with your NetSuite account team which SuitePeople components your account includes.

What should I ask a NetSuite payroll partner?

Ask which payroll providers the partner has connected to NetSuite and how it posts payroll journal entries. Then ask how it matches employee records between the two systems and how it checks that payroll reports still match after each change. If you are looking for payroll providers that connect to NetSuite, the providers in our clients’ requests include ADP, Paylocity, Paychex and Rippling.
