NetSuite General Ledger Detail Report: A 7-Step Guide

netsuite general ledger detail report

By Louis Balla, Chief Revenue Officer, Nuage. Updated October 2026.

The NetSuite general ledger detail report is the report listed as General Ledger in the Financial reports menu. It shows transactions sorted and subtotaled by account for the period you choose. To run it, go to Reports > Financial > General Ledger and set the period in the footer. Then click Customize to add columns and filters before you export.

The seven steps below cover running and saving the report. The sections after them cover exports that run past the row limit and GL views for audits. Menu paths and permissions come from Oracle’s NetSuite help center, linked in each step. Labels can differ slightly by role and by the features enabled in your account.

How to run the NetSuite general ledger detail report

1. Open the General Ledger report

Go to Reports > Financial > General Ledger. A status bar in the report footer shows progress while it loads, and you can click Cancel Report to stop a long run. Oracle’s General Ledger report page describes the report and links to the related Trial Balance and Account Detail reports.

Use the footer options to choose the period, or a From and To date range. In an account with several subsidiaries, set the Subsidiary Context as well. The footer options available depend on the report, the features enabled in your account and your preferences, as Oracle’s list of report footer options explains.

3. Click Customize to open the Report Builder

Click Customize on the report page. The Report Builder lets you change the report’s default columns, filters and sort order. Oracle’s report customization guide covers each page of the builder.

4. Add the columns you need

Add the fields your reviewer or auditor will ask for. Common additions are the transaction ID, the GL# column if you use GL audit numbering, and the memo and name fields. If you track a custom segment such as a region or a product line, search for the segment by name and add it as a column. A custom segment only appears once it is set up in your account.

If you plan to load the export into another system, add the Internal ID as a column. Oracle notes that including it keeps the relational links in your exported data.

5. Add filters to narrow the results

Filter by account, subsidiary or transaction type so the report holds only what the reader needs. Filters also keep a large period inside the report’s row limit, covered in the export section below.

6. Save it as a custom report

Save your changes as a custom report so the same columns and filters are there next period. When you save and share it, you choose who can access it. Saved versions are listed on the Saved Reports page. Our guide to NetSuite custom reports covers building and sharing custom reports in more detail.

7. Export or schedule the report

Click the export icon you need in the report footer, or click Schedule to have NetSuite email the report on a set date. Both are covered in the next two sections.

How to export the general ledger from NetSuite

The report footer offers these export formats:

  • Microsoft Excel, for review and analysis
  • CSV, for loading into another system or a data tool
  • PDF, for a fixed copy in an audit file
  • Microsoft Word
  • Tableau workbooks, if your administrator has enabled the option and you hold the Tableau Workbook Export permission

You need the Export Lists permission to export report results.

When the GL report is too large to run

Oracle’s help center lists the size limits for report and search results. The General Ledger report returns up to 75,000 rows, and results beyond that are truncated. Saved search results are limited to 10 MB, which Oracle puts at roughly 20,000 rows and 50 columns in a CSV export. For a busy month, the fix is usually a narrower date range or tighter filters.

A finance director came to us when the GL detail report stopped partway with the message “results of this report are too large.” The team needed every GL entry posted in May 2026 so they could mirror the entries in a second accounting system. Our team built a transaction saved search of all posted transactions for the period, with filters for subsidiary, transaction type, account and customer or vendor. It was delivered 14 days after the request.

Rerunning the same export every quarter

An audit export usually has to be repeated with the same settings each period. A life sciences controller asks us for the same export every quarter: the GL transaction detail for the quarter, run with the prior quarter’s parameters, with a parameters tab and a screenshot showing the run date added for the audit file. The Q4 2025 export closed 15 days after his request. The Q2 2026 export went back to him four days after he asked.

How to schedule the GL report to email automatically

There are two ways to send GL detail on a schedule.

Schedule the report itself. Open the report and click Schedule in the footer. You name the schedule, pick the run date and time, and check Run Report More Than Once to repeat it daily, weekly, monthly or yearly. You choose recipients and can copy others. Oracle’s report scheduling guide notes a 20 MB limit on the email, so a filtered version of the report is more likely to stay under that limit than a full month. You can review existing schedules at Reports > Scheduled Reports > Report Schedules.

Email a saved search. If you built the GL detail as a saved search, enable Send Emails According to Schedule on the search’s Email subtab, set the interval and start time on the Schedule subtab, and list the recipients. A saved search can also send each recipient only the rows that match them, such as the accounts a department head owns. Oracle explains the options in its saved search email guide.

GL detail for audits and non-calendar fiscal years

A GL report that resets at the start of the fiscal year

The standard General Ledger report carries a running balance forward from earlier periods. That suits a balance sheet review. An auditor who wants income and expense activity for one fiscal year needs a different view.

A benefits administration firm keeps a trust on a September-to-August fiscal year and asked us to “create a custom GL report that resets at the beginning of the fiscal year” for its annual audits. Our team tested custom income statement and trial balance variations first, then built a saved-search version of the GL detail with date filters that shows only activity in the selected range. We documented how its totals relate to the standard report, which includes the opening balance. The request closed 41 days after it was opened.

Seeing period end journals on the General Ledger

If your account uses the Period End Journal Entries feature, the General Ledger report has a Period End Mode for reviewing the effect of those journals. Viewing them requires the Period End Financial Statements permission, according to Oracle’s guide to financial reports with period end journals.

An equipment dealer’s controller needed transaction-level GL detail in period end mode for a state sales tax audit. She told us: “what I need to be able to see in this period end mode is the expanded GL for each GL number.” Our team worked out which subsidiary context and period end settings show the period end journals, and showed her where the detail appears. The ticket closed 49 days after it opened, after a confirmation call. For the rest of an audit file, our NetSuite SOX compliance guide covers the controls auditors test, and our month-end close guide covers the close steps that come before the GL review.

How Nuage approaches GL detail requests

In the four GL detail projects above, our team worked through these steps:

  1. Confirm what the reader needs from the GL. The trust audit needed activity only, from a September start. The sales tax audit needed period end journals at transaction level.
  2. Choose between the standard report and a saved search. The standard report fit the period end request. A saved search fit the fiscal-year view and the May export that ran past the report’s size limit.
  3. Document how the output ties to the standard report. For the trust, we wrote down how the saved search totals relate to the standard report’s opening balance. For the quarterly export, each delivery includes a parameters tab and a screenshot showing the run date.
  4. Set it up to run again next period. The quarterly export reruns from the prior quarter’s parameters, and the Q2 2026 file went back four days after the request.

Our team does this reporting work as part of ongoing NetSuite optimization and managed services.

NetSuite general ledger detail report FAQ

Where is the general ledger in NetSuite?

Go to Reports > Financial > General Ledger. The report shows transactions sorted and subtotaled by account for the period you set in the footer. To see one account’s activity on its own, use the Account Detail report. For balances only, with no transaction lines, use the Trial Balance report. If the General Ledger report is missing from your Reports menu, ask your administrator to check your role’s permissions.

What is the difference between the General Ledger and Transaction Detail reports in NetSuite?

The General Ledger report groups transactions by account and subtotals each account. The Transaction Detail report, at Reports > Financial > Transaction Detail, lists all transactions for a period in date order. Each line shows the type, date, document number, name, memo, account, split account, quantity and amount. Use the General Ledger to review accounts and the Transaction Detail report to trace activity in date order.

Why does my NetSuite general ledger export stop partway?

The General Ledger report returns up to 75,000 rows, and Oracle notes that results beyond the limit are truncated. Run the report for a shorter date range, or filter by subsidiary, account or transaction type. For a full period of posted entries, a transaction saved search with the same filters can be run in smaller pieces. Keep each run under the 10 MB limit that applies to saved search results.

Can I export the NetSuite general ledger to Excel?

Yes. Open the report, set the period, and click the Excel icon in the report footer. You need the Export Lists permission. Choose CSV instead if the file is going into another system, and add the Internal ID column so the rows keep their links to the source transactions. For a regular delivery, schedule the report or a saved search to email the file.
