Food and beverage software systems are the connected programs a food company runs on: an ERP for finance, inventory and production, with warehouse, quality, EDI and planning tools around it. Shortlists usually include food-specific ERP vendors and general cloud ERP such as Oracle NetSuite, and reliability is best judged through reference customers in your own segment.
Nuage is a NetSuite optimization partner, so the product detail is about NetSuite. The categories and tests apply to any vendor.
What are food and beverage software systems?
A food company rarely runs on one program. The ERP holds items, lots, costs, orders and financials, and other systems handle jobs that sit outside it. The table shows the usual categories.
| Category | What it handles | Where NetSuite fits |
|---|---|---|
| ERP | Items, lots, bills of materials, costing, purchasing, sales, financials | The core NetSuite account |
| Warehouse management (WMS) | Receiving, putaway, picking and shipping on scanners, with bins and zones | NetSuite WMS, which runs through a mobile app and supports wave transactions |
| Quality management | Inspections, holds and quarantine of received lots | NetSuite Quality Management, with receipt quarantine workflows that update bin and inventory status from the inspection result |
| Production and scheduling | Work orders, routings, batch management and shop floor reporting | Manufacturing work orders, and the Advanced Manufacturing SuiteApp for finite scheduling and batch management |
| Planning | Demand plans, supply plans, reorder points and safety stock | Demand and supply planning, and Advanced Inventory Management for reorder points |
| EDI and order channels | Retailer documents, warehouse messages, online and marketplace orders | Connected through an integration; confirm the path for each channel |
| Plant-floor and sensor systems | Equipment readings, temperatures and machine data | Connected through an integration; decide which system holds each reading |
A comprehensive suite means one vendor covers several rows. A best-of-breed approach means different vendors cover different rows and the company connects them. Both work. The difference is who owns the connections, which matters in the reliability checks below.
What are the key features of good food and beverage software?
Good software for a food company handles these jobs, and each is worth testing with your own product:
- Lot and expiry control. Every receipt carries a lot number and an expiration date, and a warning appears before you sell a lot close to expiry. Oracle documents these for NetSuite lot-numbered items.
- First-expired-first-out picking. Oracle’s FEFO Lot Assignments SuiteApp assigns lots to sales order lines in expiry order and applies a customer’s required shelf life.
- Recipes and bills of materials. Formulas with dated versions and a yield factor for expected loss.
- Costing. Finished cost that includes freight and any co-packer fee. Oracle lists seven costing methods for NetSuite items and states the method cannot be changed once an item is saved.
- Quality holds. Stock in an inspection or hold status cannot be committed to orders.
- Planning. Forecasts that turn into ingredient and packaging needs.
- Integrations. Warehouses, EDI and online channels connect to the same inventory.
- Variable-weight items. If you sell by actual weight, ask each vendor to show a case shipped and invoiced at its real weight.
A packaged food brand moving to NetSuite needed every food item lot-tracked, but its co-packers each used a different lot code format and its previous inventory system had tracked lots unevenly. Backfilling history would have meant searching PDFs and warehouse records by hand, so the agreed approach was placeholder lots for stock already on hand, full lot capture on every receipt after go-live, and the existing manual short-shelf-life report kept running for about six months while old stock turns over. The plan also turns on first-expired, first-out picking, with a policy that still allows an expired lot to be chosen for donation or rework.
Our ERP for food manufacturing guide has a demo script for these jobs on the manufacturing side. Our food distribution ERP guide covers shelf life, rebates and EDI for distributors. For plants that need finite scheduling, see our NetSuite Advanced Manufacturing guide.
Which food and beverage software companies are recognized for reliability?
Two groups of vendors appear on most food and beverage shortlists: ERP vendors built around food and process manufacturing, and general cloud ERP vendors such as Oracle NetSuite, the platform Nuage works on. This guide does not rank any of them. Reliability shows up in four places, and you can check each one for every vendor on your list.
- Reference customers in your segment. Ask for two companies of your size that make or move the same kind of product, and ask each what they would change about their rollout and who they call when something stops working during production.
- Who owns the connections. Every connection to a warehouse, retailer or online store has two sides. Ask each vendor who owns each side after go-live, and who responds when a message stops arriving.
- Upgrade handling. Ask how the vendor releases updates, how your customizations are tested against them and who does the testing.
- Support model. Ask who answers a question on a Saturday during a production run, and whether that person knows your configuration.
Reliability also includes confidence in the data. Before approving the next phase of its third-party warehouse integration, a nutrition products company asked us to check the current one. The client wrote: “we want to make sure the current shipment and tracking sync is stable and that NetSuite can be relied on as the source of truth.” In July, inventory stopped syncing to its online store and orders stopped flowing back; our team traced it to a store location that had been deactivated and mapped to the wrong NetSuite location, remapped it with the client’s agreement, and showed the client where the mapping lives so they can change it themselves. That request closed nine days after it was opened.
How do you select the right food and beverage software?
- List your paper and spreadsheet records. Each one is a process the new system has to take over, and our digital transformation guide for food companies suggests an order for moving them.
- Decide whether you make, distribute or sell food, or a mix. The categories in the table above weigh differently for each.
- Write requirements from the features list, and add the ones particular to your products: allergens, certifications, variable weights and co-packers.
- Shortlist two or three systems, including at least one suite and one combination of connected tools if you are unsure which fits.
- Run a scripted demo with your hardest product, using the script in our ERP for food manufacturing guide.
- Call references. Have your production lead, warehouse lead and controller each question the references, because each judges a different part of the system.
- List the full cost. Include implementation, integrations, add-on applications, training and the internal time the project will take, and ask each vendor which of those are separate purchases.
What are the benefits of a comprehensive software suite?
A suite puts items, lots, costs and orders on one set of records, so a lot recorded at receiving is available to production, quality, sales and finance without being typed again. Permissions and reporting sit in one place, and a trace follows one lot through one system. Its cost is that the suite has to handle every row of the table well enough. A set of connected tools can fit each job more closely and adds connections that someone has to own. Weigh those against your own team’s size and skills.
How Nuage approaches food and beverage software
In recent food and beverage projects and assessments, our team has taken or recommended these steps. The order changes with each account.
- Inventory the systems already in use and what each one owns.
- Settle lot, expiry and costing decisions before configuration, including how existing stock enters the new system.
- Pin down who owns each side of every integration.
- Check an integration against the records before approving its next phase.
- Keep manual reports running until the new reports are trusted.
Nuage’s NetSuite experts also do this work as part of ongoing NetSuite optimization and managed services.
Food and beverage software systems FAQ
Which food and beverage software companies are recognized for reliability?
Food-specific ERP vendors and general cloud ERP vendors such as Oracle NetSuite both appear on food and beverage shortlists, and Nuage works on NetSuite. Check each vendor through reference customers of your size, who owns each integration, how upgrades are tested and who answers support calls during production.
What are the key features of good food and beverage software?
Lot and expiry control, first-expired-first-out picking, recipes with versions and yield, costing that includes freight and co-packer fees, quality holds, planning, and integrations to warehouses, EDI and online channels. If you sell by weight, add variable-weight pricing. Test each one with your own product in a demo.
How do I select the right food and beverage software?
List your paper and spreadsheet records, write requirements from the features list, shortlist two or three systems and run the same demo script in each. Then call references and list the full cost, including integrations and add-ons. Our selection steps above set out the order.
What are the benefits of a comprehensive food and beverage software suite?
One set of records means a lot recorded at receiving is available to production, quality, sales and finance without retyping. Permissions and reporting sit in one place, and traces run through one system. The trade-off is that the suite has to handle each function well enough for your plant, so test each function in a demo.
Does food and beverage software cover hygiene and sanitation records?
Sanitation logs and HACCP monitoring records are often kept in a quality or plant-floor system connected to the ERP. Decide which system holds each record and how it links to the lot or production run. Ask each vendor to show the link.
